How to print gridlines in Excel on iPad

You can print a Numbers spreadsheet from a printer you set up to work with your iPhone or iPad. To learn about setting up a printer, see the instructions in the user guide for your device, or see the Apple Support article About AirPrint.

  1. Open the spreadsheet, tap

  2. To set the orientation, tap Portrait or Landscape.

  3. If necessary, drag the slider at the bottom of the screen to adjust the scale.

    By default, Numbers scales your content so that it fits the width of one page. To display content across multiple pages, drag the slider at the bottom of the screen to adjust the scale (this turns off automatic scaling). To turn automatic scaling back on, tap Auto Fit. If you open a spreadsheet from Numbers ‘09, Auto Fit isn’t on by default.

  4. To change options like page orientation, page numbering, sheet backgrounds and paper size; and to print comments, tap

    Note: If you turn off sheet backgrounds, all text colours for the sheet are changed to black.

    • When Page Numbers is turned on, sheets are numbered top to bottom, then left to right.

    • When Print Only This Sheet is turned on, only the selected sheet is printed. To print the entire spreadsheet, tap to turn off Print Only This Sheet.

    • When Comments is turned on, comments appear on a separate page that follows the sheet. Comment flags on the sheet are numbered to correspond with the comments on the comment page.

  5. Tap outside the options to close them.

  6. Tap Print at the bottom of the screen, then if no printer is selected, tap Select Printer.

    Your device automatically searches for any nearby AirPrint printers.

  7. Set the page range, number of copies and so on, then tap Print at the top of the printer options.

  8. Tap Done at the top of the screen to close Print view and return to the spreadsheet.

To cancel printing at any time, tap Done in the toolbar.

There are several types of chart markings and axis labels you can add to your charts. You can modify their look to emphasize your data, and you can style the chart title and value label text differently to make it stand out from the other text.

  2. Tap Chart, then turn on Legend.

  3. To adjust the size of the legend, tap the legend, then drag the green dots.

  4. Drag the legend to where you want it.

  2. Tap Style, tap Gridlines, then turn on Gridlines for the Value (Y) or Category (X) axis.

    If you’re working with a radar chart, you can also turn on Radial Lines under Category.

  3. Tap Tick Marks to choose whether tick marks are inside, outside or centred. Tap None to turn off tick marks.

    These options vary depending on the type of chart and data.

You can add reference lines to a chart to mark the average, median, minimum and maximum values. Reference lines make a chart easier to interpret at a glance and can help you compare the values in the chart to a benchmark value.

All chart types can have reference lines except stacked charts, 2-axis charts, 3D charts, pie charts, doughnut charts and radar charts. A chart can have up to five reference lines.

    • Average: A line that runs through the mean value of the data

    • Median: A line that runs through the middle value of the data

    • Minimum: A line that runs through the lowest value of the data

    • Maximum: A line that runs through the highest value of the data

    • Custom: A line that runs through the value you enter in the Custom section

  4. To clarify what the reference line represents, tap to turn on Show Name and Show Value.

Note: When you drag the slider on an interactive chart to view different data sets, its reference lines move.

Error bars give a general impression of your data’s accuracy. They’re represented as small marks whose length indicates the amount of uncertainty associated with a given data series (the data’s variability). You can add them to 2D line charts, area charts, bar and column charts, stacked bar and column charts, bubble charts and scatter charts.

  2. Tap Error Bars, then choose an option.

  3. Use the controls to change the look of the error bars.

When you create a chart, Auto-Fit is automatically turned on for error bars to prevent overlap. To see all error bars, turn off Auto-Fit.

To remove error bars, tap Error Bars, then choose None.

Trendlines show you the overall direction (or trend) of your data. Trendlines appear in bar, line, scatter, bubble, column and area charts.

You can change the look of a table by changing its outline, showing or hiding gridlines, adding borders and colour to cells, and using alternating row colours.

  2. Tap Table, then do any of the following:

    • Show the outline: Turn on Table Outline.

    • Change the gridlines: Tap Grid Options, then tap to turn gridlines on or off.

    If you can’t see these options, swipe up from the bottom of the controls.

You can change the border and background of any selection of table cells.

  1. Select the cells you want to change.

    • Change the border: Tap Cell Border, then tap a border layout to choose which lines you want to format. Tap Border Style, then choose a border style. Or use the controls under “Cell border” to define your own style.

      Tip: To select multiple borders, tap a border layout, then touch and hold additional layouts.

    • Change the background: Tap Cell Fill, tap a type of fill, then tap a fill option. See Fill shapes and text boxes with colour or an image.

  2. Tap Table, then turn on Alternating Rows.

Row colours don’t alternate for header columns. Header columns have their own look based on the table style you choose.
